Information we collect
When you contact RCAC or submit a property, we may collect contact information, property addresses, property-condition information, financial or lien information you choose to provide, timing and motivation details, referral information, and uploaded photographs or videos.
How property details and media are used
Submitted information is used to evaluate the property, communicate with the submitting person, research a referral, understand possible property solutions, prevent abuse, maintain business records, and operate the RCAC lead-management system.
Photos and videos are private by default
Submitting property media for evaluation does not automatically authorize RCAC to publicly post it. Seller media is stored privately and is intended for internal property review unless the submitter separately checks the optional public-content permission box or later provides another valid authorization.
Optional public-content permission
If a seller voluntarily checks the optional permission box, RCAC may use approved submitted photos, videos, recordings, testimonials, or other volunteered content for website, social-media, educational, marketing, and promotional purposes. This permission is optional and is not required for a property review, potential offer, or business relationship.
Referral submissions
Property Scouts must not trespass, enter private property without permission, invade an owner or occupant’s privacy, unlawfully record people, or submit sensitive private information about occupants. Referral media should be taken only from lawful locations or with appropriate permission.
What we do not intend to publish
RCAC does not intend to publicly publish personal contact information, financial documents, access codes, account information, private identification documents, or sensitive data that may appear in a submission.
Service providers and storage
RCAC may use third-party infrastructure providers to host the website, database, media storage, email, analytics, security, and other business systems. Access is limited according to operational need and provider capabilities.
Retention and deletion requests
Information may be retained for business, security, recordkeeping, dispute-resolution, or legal purposes. To request review or deletion of submitted personal information, contact RCACHamptonRoads@gmail.com. Certain records may need to be retained when required by law or legitimate business obligations.
Legal disclosures
Information may be disclosed when reasonably necessary to comply with law, legal process, court orders, protect rights or safety, investigate fraud or abuse, or complete a transaction with appropriate service providers.

This policy is written as an operational privacy framework for the system being built. Because the platform will accept media, referrals, and potentially compensation-related submissions, RCAC should have Virginia counsel review the final published terms before launch.
